How to Set Up Automated Reminders for Follow-up Calls in Zoho CRM

Step 1: Log in to Zoho CRM

Step 2: Access Workflow Rules

  • From the top menu, click the gear icon (⚙️) to open Setup.

  • Go to Setup > Automation > Workflow Rules.


Step 3: Create a New Rule

  • Click the ‘ Create Rule’ button.

  • Select the module where the reminder applies (e.g., Leads, Contacts, or Deals).

  • Enter a Rule Name like “Follow-Up Call Reminder.”

  • Optionally, add a description.

  • Click Next.


Step 4: Set the Trigger

  • Select “On a Date/Time”.

  • Choose a date/time field, such as:

    • First Visit Date

  • Define when to trigger the reminder, for example:

    • 1 day before Follow-up Date at 9:00 AM

  • Click Next.


Step 5: Define the Condition

  • If you want the rule to apply to all, choose ‘All Deals or Prospects’ Depending on the Module.

  • If you want to apply it only to certain types of records, choose ‘(Module Name) matching certain conditions’ and set your criteria (e.g., Lead Status is "Interested").

  • Click Next.


Step 6: Set the Action – Create a Task

  • Click ‘Instant Actions’ > ‘Task’.

  • Fill out task details:

    • Subject: “Make Follow-Up Call”

    • Due Date: e.g., 1 day from trigger time

    • Status: Not Started

    • Priority: Normal or High

    • Assign To: Record Owner or a specific user

  • Click Save.

Step 8: Save and Activate

  • Review the workflow rule.

  • Click Save & Activate to enable the automation.
