How to Trigger a Task When a Deal Stage Changes in Zoho CRM


Step 1: Log in to Zoho CRM

Step 2: Access Workflow Rules

  • From the top menu, click the gear icon (⚙️) to open Setup.

  • Go to Setup > Automation > Workflow Rules.


Step 3: Create a New Workflow Rule

  • Click the ‘ Create Rule’ button.

  • Choose the Deals module.

  • Enter a Rule Name like “Create Task on Stage Change.”

  • Optionally, add a description.

  • Click Next.


Step 4: Set the Trigger

  • Choose ‘Record Action’.

  • Select Edit as the action.

  • Click Next.


Step 5: Define the Condition

  • Under the condition, choose:

    • Stage is changed to “Negotiation” (or any specific stage you want).

  • You can add more criteria if needed (e.g., Deal Amount > $10,000).

  • Click Next.


Step 6: Set the Action – Create a Task

  • Click ‘Instant Actions’ > ‘Task’.

  • Fill in the task details:

    • Subject: e.g., “Follow up on Negotiation Stage”

    • Due Date: e.g., 1 day from the trigger

    • Status: Not Started

    • Priority: Normal or High

    • Assign To: Record Owner or a specific user or role

  • Click Save.


Step 7: Save and Activate

  • Review the rule setup.

  • Click Save & Activate to put the rule into action.
